Dyno Day G2G Expenses

Ok Folks, take a moment to read and respond please...

With organizing the up and coming event/g2g, we have accounted for the costs of food/drinks/etc. We are wanting your feedback on how everyone thinks we should proceed. We as the officials want to put it all out there so nothing is behind the scenes. Take a look at the available options below;

A. Split the costs evenly (which would put us at $20 each assuming every member contributes) of which would be paid back after all sales are final?

B. Have the costs covered by the officials (again the spent funds would be repaid to us after all sales are completed)?

If there are individuals that would/could donate more than the required amount, that is perfectly fine as well. We can have the monies sent to us via a paypal transaction, pass a hat to collect at the Lane Event and/or you could mail the funds to us as well. It has been decided that each person contributing/donating will recieve a receipt, so that your monies will be repaid promptly after the event.

This needs to be determined ASAP so that everyone of us can prepare for the expense. This is slated to be a big event and there is still more to organize.

Either option works for me but as Patrick stated the officials have discussed it so we need the rest of the groups input.

I think all donations should be done through paypal or via a check by the member (if we do it this way) so everything has a "paper trail" for both sides, plus it will make things easier to keep records of as mentioned.

I agree we need to know ASAP because if option B is the course of action then I'll have to start putting some side money up.

I don't have a check book, and I don't think my paypal is active. I think I thought about setting up a new one, but I don't think I ever got around to it. Anyway, cash or money order are the best options for me.

I was thinking what Nathan was saying!

If the officials have to suck the expense that would be a big hit to very few wallets. If everyone put up $20.00, that would just be a small hit to a lot of wallets.

As most of you know I live a bit south of the events that take place. I do, try to make it to Lane. I am sure that I will not make it to this Dyno event. I have no problem fronting $20.00 at all.

My vote is "Pass the hat at Lane". That way no one, or couple of people have to cover the cost all alone!

Everybody needs to put up 20$, and it needs to be done with some kind of paper trail just to avoid conflict. Also it should be said that in the event that cost is greater than profit tgen the pot is split between paying members whether that equals the full 20$ or not because it could fall that way(unlikely but possible). The officials dont need to soley fund the event whether the money will be returned to them is beside the point, they weren't elected to fund our events.
